1.  How To Block Out Or Extend Appointment Slots:


If you go to the Manage Your Appointments page, you can type in your name or use the search box to filter the teachers in each parents' evening and then you can pull up your appointment sheet.  From here, if the Admin has allowed, you can Block Out or Extend your appointment slots.  You can also view any comments on bookings from parents, print out the appointments or mark any parents as attended for any appointments which is useful for the reporting after a parents' evening is over.


2.  How To Make Appointments:


On the Manage Bookings page you can select the relevant parents' evening and then see the booking table with all the teachers that have been added to the parents' evening.  Clicking on a Department will display all the teachers within that department, if you then select a teacher you will see their appointment table.  Clicking on an Available slot will bring up a pop up box to select the relevant Class, Child and Parent that the booking is for.  You can also add any comments to the booking from the parent to the teacher.  Appointments for parents can also be Printed, Emailed or all Cancelled by using the buttons above the Departments at the top of the page.  Again these buttons will ask you to select the Class, Child and Parent you want to carry out the specific action for.


3.  How To Cancel Appointments:


On the Manage Bookings page you can select the relevant parents' evening and then see the booking table with all the teachers that have been added to the parents' evening.  If you click on the checkbox to the right of any booking that will select the booking, then you can click on the Cancel Bookings button at the top of the page and this will allow you to cancel the selected bookings.  The system can also take a reason why the booking was cancelled and this can be emailed to the parent, if they have an email address listed against their record and this option is enabled in the Admin area.


4.  Request To Parent:


On the Manage Bookings page you can also click on the link on the right, Request to Parent, which will allow you to select a Class, Student, Parent(s) of the student and then send a message to the parent from one of the child's teachers.  When the parent logs into the system they will be shown all the messages from each teacher and will be prompted to make a booking with the teacher.  If the parent's email address is also in the system then the parent will get the requests sent to their email address as well.


5.  Reports:


Reports are handy to see which parents have and have not made bookings yet.  You can see this for forthcoming parents' evenings and also for parents' evenings in the past.  You can also get straight to your own individual appointment sheet by using the List of teachers and appointments report which will list all the teachers in the parents' evening.  Clicking on a teacher's name will display the teacher's appointment sheet.
